By default, Workbench uses SendGrid cloud service to send emails. Being a third party service, it does not automatically have authority to send from a client's domain. When sending sensitive information such as job invoices to the client's internal mailboxes, depending on email server/spam firewall configurations for validating sender identify, it may flag emails from Workbench as spam, or even reject the emails entirely. External recipients may also have the same issue.


To resolve this issue, please refer to the following options.


  1. If the client is hosted on AWS (wbi.cloud) and uses Office 365 Exchange Online for emailing, Office 365 integration is the preferred option. There are additional requirements and restrictions. Please refer to Office 365 Integration for more information.
  2. Configure Workbench to send everything from Workbench domain such as noreply@workbench.co.nz via Email Sender ID setting.
  3. If the client site is on-premise, Workbench can be configured to use the client's own email service with provided credentials. The provided email account must have Send As permissions.
  4. Ask client IT to whitelist Workbench SendGrid IP address 168.245.22.134 on their email server/spam firewall to alleviate the issue. However, this option does not resolve it for external recipients who flag or reject incoming Workbench emails. The external recipients would need to make the same whitelist change.
