To notify someone when a form is submitted, you need to configure the notification settings based on whether the form has a workflow or not. This notification method is available for upvise users. Here’s a step-by-step guide:

For Forms Without Workflow:

  1. Go to the Forms App: Navigate to the Forms app and select the template for the form you want to configure.

  2. Select the Template: On the left pane, under Templates, click on the template you're working with.

  3. Open the Info Settings: Once you've selected the template, click on the Info section.

  4. Configure Notifications: Look for the Notify Manager Users combo-box and select the list of managers who should be notified when the form is submitted. 

    This ensures that when the form is submitted, the selected manager users will receive a notification.

For Forms With Workflow:

  1. Workflow Notifications: If the form has an active workflow, the notification will be sent to each user part of the specific workflow, in addition to those selected in the Notify Manager Users combo-box. 
  2. Configure Workflow and Managers: Ensure both the workflow participants and the selected managers are listed under the appropriate sections.

Administrators and Disabling Notifications:

Administrators can control notifications by adjusting user settings:

  1. Go to User Settings: Open the User Settings.
  2. Select the User: Choose the user for whom you want to modify notification settings.
  3. Notification Tab: Go to the Notification tab and uncheck the Form State Change checkbox to disable notifications for form submissions.

Notification Delivery Method:

  • By default, notifications are sent via email and as an in-app push notification if the user is logged into a mobile device.
  • Administrators can change the global (databse level) delivery method to email only or in-app only in Settings > Company > Edit > Notification Method.

Important Considerations:

  • There is a server-side limit of sending notifications to a maximum of 20 recipients to avoid overload. Ensure the number of users in workflows or the Notify Manager Users field does not exceed this limit.
  • If a form app is hidden from a user, they will still receive notifications, but clicking on them won’t lead anywhere if the app is inaccessible.
