When exporting forms as PDFs in Upvise, customisation options are available globally or individually for specific forms. Here’s a detailed guide to help you modify the layout and appearance of your exported PDFs. 

Global PDF Export Settings

You can configure default settings for all forms globally by navigating to:
Forms > Options > Export PDF

Available Settings

  • Company Logo

    • Upload an image file to display in the top-right corner of the PDF.
  • Company Header

    • Enter multi-line text (e.g., company name, address, registration number) to be displayed in the top-left corner of the PDF.
  • Font Size

    • Set the font size for the PDF. The default is 1.4em.
  • Columns

    • Choose between a one-column or two-column layout for form fields. 
    • A two-column layout saves space. The default is one column.
  • Hide Empty Fields

    • Prevent fields with empty values from appearing in the PDF.
  • Include Form Location

    • Display the form’s address under the title in the PDF if this option is enabled.
  • Include Form Caption

    • Add form details like Form ID, Date, and Owner (Created by) below the title. Template-specific overrides are possible.
  • Add Template Group in Title

    • Append the template group name to the form title in the PDF..



Individual Form PDF Export Control

To override global settings for specific forms, you can customise the following options:

Forms > Templates > Select Template > Export PDF

Field Layout and Appearance

  1. Column Width

    • Adjust the width of field label columns using CSS-like values (e.g., 200px, 50em).
  2. Font Size

    • Set a custom font size specific to the form.
  3. Columns

    • Choose between one or two columns for field layout.
  4. Header Background Color

    • Change the colour of the header background.
  5. Photo Height and Caption

    • Set a fixed height for photos and optionally include captions with image labels.

Watermark and QR Code

  1. Watermark Text and Color

    • Add a watermark with custom text and colour to all PDF pages.
  2. QR Code Verification

    • Include a unique QR code for each PDF. Users can scan this code to verify the authenticity of the document, especially useful for certificates and audits.

Additional Features

  1. Header Image

    • Replace the Company Logo and Header with a single image displayed at the top center of the page.
  2. Footer

    • Add a custom footer at the bottom of each page.
  3. Hide Workflow History

    • Exclude workflow details if the template has a defined workflow.


If used as a Subform:

In addition to the settings mentioned above, individual forms also offer advanced PDF export controls for SUBFORMS as shown in the interface. Here's a breakdown of the subform introduced options:

  1. Do Not Export at All: 
    • Prevent the form from being exported as a PDF entirely.
  2. Layout Vertically: 
    • Configure the form to use a vertical layout for fields instead of the default layout.
  3. Show Hidden Fields: 
    • Include fields marked as "hidden" in the form in the exported PDF.
  4. Hide Photos: 
    • Exclude all photos from being displayed in the exported PDF.
  5. Show Template Name Header:
    •  Add the name of the form template as a header in the PDF.
  6. Use the Main Form Button Label Instead of Subtemplate Name: 
    • Replace the subtemplate name with the main form button label in the exported PDF.
  7. Show Only These Fields: 
    • Specify a subset of form fields to include in the PDF export.

Advanced Customization

  1. Custom PDF Template

    • Upload a custom PDF layout to fully replace the default export. Use Adobe Acrobat Reader to edit the template and map form fields (e.g., field ID F1 in the form will map to F1 in the custom PDF).
  2. Simple PDF Layout

    • Create a minimalist PDF by defining a simple HTML layout. Use the Insert Field option to dynamically insert form values into your template.
